Add business customers who pay on account

Keep a list of companies you invoice later, and see what each one has paid and still owes.

A business customer is a company (or person) you let pay later, "on account". You keep their details, invoices and discounts in one place.

Business customers are part of the POS app. They aren't shown in the reservation and appointment apps.

See your business customers

Open Business Customers in the Customers area. The table shows:

ColumnWhat it means
NameThe company or person
SSNTheir kennitala or registration number
AccountA tick means the customer may pay on account
StaffA tick means the customer is a staff member
Balance, Total Paid, Total PendingMoney amounts for this customer

Search at the top, click a column to sort, and click Filter to show only customers who are allowed or not allowed to pay on account (Both, Allowed, Not allowed) or only staff (All, Only staff, Non staff). Click a row to open the customer.

You need the Customers Reports permission to open this page, and write access to add or change customers.

Look the company up (Iceland only)

If your company is in Iceland, you can click Search in þjóðskrá and enter the SSN/Kennitala. Click the result to fill in the name, SSN and address.

Fill in the details

Enter the Name (required), SSN, Email, Address, Comment, Contact Name, Contact Phone and Contact Email. For a company outside Iceland, turn on Foreign company and enter a Tax ID / Registration number.

Choose how they pay

Turn on Account (Allow this customer to make account payments) if they may pay later. Turn on Is staff if the customer is a staff member.

To change a customer, open them, edit the details and click Update. Delete removes the customer after you confirm.

What you can do on a customer

An existing customer has five tabs.

  • General: the details above, plus a short invoice history with Manage Invoices.
  • Billing: the invoices for a period you choose. Each shows Date, Amount, Sent, Paid, Comment and a Receipt PDF. Click the pencil icon to switch Invoice sent and Invoice paid. Use Download all PDFs or Download Summary to save them.
  • Departments: add the customer's departments with New (just a Name).
  • Agents: add the people who order for the customer with New: Name, SSN, Email, phone and Department.
  • Discounts: click Add discount to give this customer a Percentage (0 to 100). Choose where it applies (for example POS, delivery, take-away or reservation), which Menus, and optionally a Department.

Charge an order to a customer's account

In the POS, an order can be paid with the Account payment type, but only if the order has a business customer attached and that customer has Account switched on. Otherwise the POS shows Account payment not allowed.

When you pay on account, the POS asks for a Payment comment: a reference such as a name, SSN or employee ID.

Customers marked Is staff are for staff accounts.
