Create staff PIN codes
Give each staff member a 4-digit code, set their role and discount limit, and use the codes at the till.
Staff PIN codes let your team sign in with a 4-digit number. You can set each person's role and how much discount they may give.
These codes are separate from user accounts. A staff member doesn't need an email login to have a code.
Turn on staff login
Open Users & staff
In Settings, open Account, then Users & staff. Open Staff Users (Pin-code).
Switch on staff login
Turn on Enable staff login. Staff then have to enter a code after certain actions in Dineout Partner. For booking changes, see Require a staff name or PIN on bookings.
Use it in the POS (optional)
Turn on Use staff login in POS system. Staff then have to sign in with their code in the POS. This switch only appears after you turn on Enable staff login.
The New button and the list of staff only show when Enable staff login is on.
Add a staff user
Click New
Click New.
Fill in the form
Enter Name and a Login Code. The code is 4 numbers. Each person must have their own code.
Choose a role and discount limit
Choose a Role: Owner, Manager or Staff. Fill in Max Discount in % if you want to limit discounts. Leave it empty for no limit.
Save
Click Save.
Companies that sell services also see a Resource field, to link the code to a staff member in the schedule.
Each person in the list shows their code, role and limit, for example "0123 (Staff) Max Dsc: 10%". Click a person to change them or click Delete to remove them. Use Search users to find someone.
Only managers can add, change or delete staff users.
What the role does in the POS
In the POS, the role decides what a person can do once staff login is on.
| Owner and Manager | Staff | |
|---|---|---|
| Change prices | Yes | No |
| Delete a line after it has been printed | Yes | No |
| Give discounts | Any amount | Up to Max Discount in % |
If Max Discount in % is empty, a Staff user can give any discount. If it is 0, they can't give discounts. If they enter more than the limit, the POS lowers it to the limit.
Owners and managers can also set rush hour in the POS.
Create at least one staff user before you turn on Use staff login in POS system. If staff login is on and you have no staff users, the POS still shows its code screen when it starts, and there is no code to enter.
