Customers changing their own time
What you see in the calendar when a customer cancels or moves a booking, and how to release a held slot.
Customers can change or cancel a booking themselves. This article explains what you see and what you can do.
Customers can't change a booking that has already started or is too close to its start time.
When a customer changes the time
- If the staff member confirms bookings automatically, the new time is confirmed straight away.
- If not, the appointment gets the status Reserved after change and shows in Requests. For a booking that was Confirmed, the staff member's old time is blocked in the calendar with the text "Appointment changes requested" and the new time. This stops anyone else booking the old time while you decide.
Release a held slot
Find the blocked time
Right-click the blocked time in the calendar.
Release it
Click Release slot, then Release in the window Release slot?. The slot can be booked again.
You can also choose View in calendar from the same menu to see the changed appointment.
When a customer cancels
By default a customer cancellation shows as Cancelled and the slot is free again.
To hold the slot, turn on Hold cancelled appointments for the staff member in Staff and rooms (see Add staff and rooms). The appointment then stays on the calendar with the status Cancelled by customer, and the slot stays unavailable until you change the status to Cancelled.
