Handle no-shows
Mark an appointment as a no-show and charge the no-show fee to the customer's card.
When a customer doesn't turn up, mark the appointment as No Show. If the customer left card details when they booked, you can then charge the no-show fee.
Mark an appointment as a no-show
Open the appointment
Click the appointment in the calendar.
Change the status
Under Appointment status, choose No Show. The list offers No Show for Confirmed appointments.
Confirm
A window asks you to confirm. You can choose to email or text the customer about the change before you confirm.
Once an appointment is No Show, the list offers no other status to change to.
Charge the no-show fee
The appointment now has a No Show section. It says No-show fee has not been charged until you charge it. Click that message to open No-Show Actions.
Click Charge card
Choose Charge card ("Charge the no-show fee on the customer's registered card"). This only appears if the customer's card was saved when they booked and you have permission to take payments.
Choose the amount
Set the amount to charge. It starts at the full price of the appointment. You can lower it.
Confirm
Click the Charge button with the amount, then Confirm. You see "No show fee charged".
After the card is charged, the appointment shows Charged with the amount and the time.
The card is only saved when the service asks for a No show fee when customers book online. See Take payment when customers book online.
If an appointment has several staff with a payment type, card details may not be saved. The appointment then says "card information for no show was not stored". Remember to charge the customer when they arrive.
If there is no card: send to collection
If your company uses Inkasso for collection and the customer has an SSN on file, Send to collection is also in No-Show Actions. It creates a collection claim and a notice is sent to the customer. The window warns that a 10% commission applies to successfully collected claims.
Claims show as Active, Pending, Paid, Failed or Cancelled. Click a claim to see its details or cancel it.
