Booking statuses explained

What each booking status means and which one to set at each point of a guest's visit.

Every booking has a status and a colour. The status tells your team where the guest is in their visit.

The statuses

StatusWhat it means
HoldAn online booking that the guest has started but not finished, for example while they pay or register a card. It runs out after a set time.
New bookingA booking that is made and waiting for the guest to arrive. This is the start status for bookings you create.
ConfirmedA booking that is confirmed. Dineout sets it when a pre-payment for the booking is completed.
Not confirmedA booking that is not yet confirmed.
Partially arrivedSome, but not all, of the guests have arrived.
ArrivedThe guests have arrived. Walk-ins start here.
Partially seatedSome of the guests are at the table.
SeatedThe guests are at the table.
CompletedThe guests have finished and left.
No showThe guests did not come.
CancelledThe booking was cancelled.
WaitingThe guest is on the waiting list and has no table yet. See Use the waiting list.

What to set when

A normal visit goes like this:

  1. New booking: the booking is made.
  2. Arrived: the guests are at the door.
  3. Seated: they sit down.
  4. Completed: they leave.

If the guests never come, set No show. If they cancel, set Cancelled.

Where to change a status

  • List view: use the status drop-down on the booking. It offers every status. A new booking also has Cancel and Arrived buttons. Other open bookings have a Completed button.
  • Details tab: under Change status to you see the next steps that make sense for the current status. For example a New booking offers Cancelled, Arrived, Partially arrived, Seated and Partially seated.
  • Edit tab: the Status field offers every status.

No show, Cancelled and Completed have no next steps on the Details tab. Use the Edit tab if you set one by mistake.

How statuses affect the counts

  • Cancelled bookings are not shown in the monitor.
  • The total guest counter at the top of the monitor leaves out Cancelled, Hold and No show bookings.
  • The printed list leaves out waiting list bookings and does not count no shows in its totals. See Daily notes and printing the day's bookings.
  • In the calendar view, no shows are counted separately from bookings.
